Your day to day 

  • Carry out all administrative work of the Director of rooms to give the director the opportunity to spend maximum time on strategic tasks.
  • Seek guests’ direct input and use them proactively to increase Guest Love on Heartbeat system and improve guest experience.
  • Monitor guests feedback on social media as well as heartbeat and report performance gaps and recommendation to address them.
  • Maintain, organize and control all Rooms Division documentation and data files, ensuring accuracy, version control and confidentiality of sensitive records.
  • Manage and coordinate the the Director of rooms calendar, appointments and daily schedule, proactively resolving conflicts and prioritizing time-sensitive commitments.
  • Organize and prepare agendas for departmental meetings, take and distribute minutes, and track action items through to completion.
  • Track deadlines and commitments across the Director of rooms, following up with department heads to ensure timely completion of tasks and action plans.
  • Prepare, consolidate and analyze operational and performance reports (occupancy, guest satisfaction, departmental goals) to support data-driven decisions and improve reporting efficiency.
  • Maintain and update departmental vacation, leave and attendance balances, ensuring accurate scheduling and coordinating requests with department heads.
  • Draft, review and manage incoming and outgoing correspondence, emails and reports on behalf of the the Director of rooms, ensuring accuracy and brand-appropriate tone.
  • Act as the key point of contact between the the Director of rooms, department heads, hotel leadership and external stakeholders.
  • Handle confidential information, contracts and departmental licenses with discretion, keeping compliance documentation current.
  • Coordinate travel, logistics and administrative resources needed to support the Director of rooms schedule and department operations.
  • Liaise with hotel leadership team and staff to ensure that quality standards are properly functioning

 

What we need from you

  • Bachelor’s degree
  • Must speak local language(s)
  • Other languages preferred
  • 3–5 years of experience as an Executive Secretary, Executive Assistant or similar administrative role, ideally within a hotel or Rooms Division environment, or an equivalent combination of education and experience
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and document/data management systems
  • Excellent organizational, multitasking and time-management skills, with high attention to detail and discretion
