We’re searching for a Personal Assistant to Cluster General Manager who will provide high-level administrative support to the Executive Office by preparing to meet the needs of both internal and external requests.

 

A little taste of your day-to-day:

Every day is different, but you’ll mostly be:

  • Providing administrative support to the Cluster General Manager, such as managing schedules, appointments, and travel arrangements.
  • Handling correspondence, emails, and phone calls on behalf of the Cluster General Manager.
  • Coordinating meetings and preparing meeting agendas, minutes, and presentations.
  • Assisting with the organization of special events, conferences, and functions.
  • Managing confidential information and documents with discretion.
  • Liaising with other departments within the hotel and external stakeholders.
  • Conducting research and preparing reports as needed.
  • Assisting with budget management and expense tracking.
  • Handling any ad-hoc tasks or projects assigned by the Cluster General Manager.
  • Acting as a point of contact between the Cluster General Manager and other staff members, guests, and clients.
  • The role is varied and can be demanding with an intense workload that will need to be delivered accurately and always on time
  • Coordinate with other departmental secretaries, review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, expenditures, share responsibilities, etc.
  • Prepare monthly reports and any requests from the Owner’s office bearing in mind meeting deadlines
  • Maintain the strictest confidentiality at all times on all matters

 

What We need from you:

  • Bachelor’s degree / higher education qualification is required with 2-3 years of background experience to support the demands of the job
  • This role requires a highly organized individual who is energetic, self-motivated with the ability to work on own initiative and the ability to multi-task, deal with a lot of pressure and demands whilst remaining calm and working effectively is essential
  • Strong interpersonal skills with the ability to communicate and build respect and rapport at all levels are essential.
  • Need to be capable of competently dealing with situations in the boss’s absence and should be confident enough to commission work on her GMs behalf.
