ROLE PURPOSE:

The Marketing Coordinator provides organized day-to-day support to the Marketing team. The role helps ensure that content is accurate, assets are ready, calendars and trackers are current, approvals are followed up and campaigns, promotions and events are delivered on time. The Coordinator is a key link between the Marketing team, operating departments and external suppliers.

KEY RESPONSIBILITIES

1. Content & Copy Support

  • Draft and proofread captions, web copy, promotional text, event listings, internal requests and basic collateral content.
  • Check dates, prices, terms, links, spelling, brand language and operational details before submitting work for approval.
  • Adapt approved content for different channels while preserving the intended message and tone.
  • Maintain current content files and clearly label drafts, revisions and final approved versions.

2. Social Media Coordination

  • Schedule approved posts and stories according to the content calendar.
  • Gather resort content, guest-experience updates and department information for upcoming social activity.
  • Monitor routine comments, messages and guest insights and flag items requiring response or escalation.
  • Maintain accurate posting records and support basic performance tracking.

3. Photography, Video & Content Capture

  • Prepare shot lists, schedules, location requirements, host coordination and operational notes for content capture.
  • Assist photographers, videographers and content creators on property and help ensure brand, privacy and guest-consent requirements are followed.
  • Collect, label and organize approved images and video files after each shoot.
  • Identify gaps in the asset library and communicate future content needs.

4. Artwork Creation, Collateral, Artwork & Promotional Materials

  • Create and adapt routine marketing artwork for social media posts and stories, menus, flyers, posters, digital screens, invitations, signage, brochures and promotional materials using approved brand templates and creative direction.
  • Select and arrange approved copy, imagery, logos and design elements; check dimensions, dates, links and print or digital specifications before submitting artwork for approval.
  • Complete artwork revisions promptly and liaise with the Assistant Marketing Manager, departments, printers and external designers on feedback, production requirements and delivery deadlines.
  • Prepare final approved artwork files in the correct formats, archive source and final versions, remove expired materials and ensure only approved collateral is displayed or distributed.

5. Digital Asset Library & File Management

  • Name, tag, store and archive approved photographs, videos, logos, templates, artwork and campaign files using agreed conventions.
  • Maintain logical folders, usage notes, permissions and expiry information so assets can be found quickly and used correctly.
  • Protect original files and avoid duplication, uncontrolled edits or use of unapproved assets.
  • Support regular library clean-up and backup practices.

6. Events, Promotions & Partnerships

  • Support event listings, invitations, guest lists, run sheets, signage, partner details, content capture and post-event follow-up.
  • Coordinate routine marketing requirements for food and beverage events, spa promotions, chef appearances and resort experiences.
  • Confirm that departments provide final details and approved assets before deadlines.
  • Archive event materials, coverage and key learnings after completion.

7. Marketing Administration & Scheduling

  • Maintain marketing calendars, project trackers, meeting notes, contact lists, media lists, purchase requests and approval logs.
  • Schedule meetings, content capture, supplier visits and campaign checkpoints.
  • Follow up on assigned actions professionally and keep the Assistant Marketing Manager informed of delays or missing information.
  • Support invoice documentation, quotations and basic budget tracking as directed.

8. Website, Email & Digital Updates

  • Prepare and upload approved routine website or platform updates where authorized.
  • Build or format email content, check links and images and support test-send reviews.
  • Report broken links, outdated information, technical issues or guest-facing inconsistencies promptly.
  • Maintain screenshots or records of completed updates when required.

9. Reporting & Monitoring Support

  • Collect routine social, website, email, campaign and media data for weekly and monthly reports.
  • Update dashboards and trackers accurately and identify unusual changes for review.
  • Maintain files of published content, media coverage, campaign examples and final results.
  • Support competitor and destination monitoring as directed.

10. Brand, Compliance & Professional Standards

  • Follow brand standards, approval processes and confidentiality requirements.
  • Observe privacy, image-consent, intellectual property, data-handling, safety and procurement requirements.
  • Represent the resort professionally when communicating with hosts, guests, suppliers, partners and content creators.
  • Escalate inaccurate, sensitive, unsafe or reputation-related matters rather than responding beyond delegated authority.

QUALIFICATIONS:

  • Diploma or Bachelor’s degree in Marketing, Communications, Hospitality, Business, or a related field.
  • 1–2 years of experience in marketing, communications, hospitality, or a similar role.
  • Strong written and verbal communication skills with excellent attention to detail.
