Duties and Responsibilities

As Cluster Sales Coordinator, you will be responsible for various administrative tasks, data analysis, and collaboration with internal teams to enhance the overall efficiency and effectiveness of our sales and trade marketing initiatives.

The role requires strong organizational, communication, and analytical skills to ensure cluster sales operations run efficiently.

Sales Support

  • Assist cluster sales teams in preparing presentations, sales reports, Fam trips organisation, and proposals.
  • Support the preparation and follow-up of customer quotes, orders, and contracts.
  • Complete forms in accordance with company procedures.
  • Support on administrative tasks and coordination with finance team for payments, invoicing, expenses reports.
  • Coordinate and schedule meetings, conferences, and events related to sales activities.

Data Management

  • Maintain and update the customer database, ensuring accurate information for sales teams. Track sales performance and prepare reports for leadership.

Communication

  • Serve as a point of contact for global customers and internal teams. Ensure smooth communication in the cluster and between cluster team and properties team.
  • Work on any ad hoc projects with Cluster Sales Director might requests for business needs.
  • Coordinate and schedule meetings, conferences, and events related to sales activities.

Event Coordination

  • Organize and support sales meetings, trade shows, and customer events, both virtually and in person if needed.

Market Research

  • Assist in collecting data on market trends, customer preferences, and competitive landscape to support sales strategies.

Order Processing

  • Oversee the order fulfilment process, ensuring timely delivery and proper documentation for international customers.
  • Maintain inventory of sales support materials, ensuring all are current and accurate, and coordinate the creation of new materials when necessary.

Documentation and Compliance

Ensure all sales transactions comply with company policies and local regulations across different markets.

Training and Support

Help onboard new sales representatives and provide ongoing training or resources as needed.

Qualification

To execute the position of Cluster Sales Coordinator - Ibiza & Italy, you must have the required qualifications, technical skills, and experience in a similar role in luxury hotels with proven results and including the following:

  • Bachelor's degree in Business, Marketing, or a related field.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and familiarity with CRM tools.
  • Fluent in English and Italian, Spanish is a plus.
  • Valid Italian Work Permit or European Union citizenship is required for this role.
